Creating a Shared Contact List in Kerio

With Kerio it's possible to create a directory of Contacts that can be shared throughout the organization. There are several different ways to share Contacts in Kerio, but this way works best for sharing between users accessing Kerio from different sources ( Webmail, AddressBook, Entourage, Outlook ).

Kerio supports public folders. Any folder that is located in the Public folder on the server is available to all users of the domain by default. This makes the public folder the logical choice for storing our contacts that we want to share with all users in the company.

To create the Public Contact List
Step 1) Login into webmail with a user that has Admin rights to the public folders.

Step 2) Right Click on the public folder and select "New subfolder" from the menu.


A Contact List is really just a folder specified to be a Contact List.

Enter the name of your Contact List in folder name ( I used the name "Clients") and select the type "Contact List". Click OK.



You now have a Contact Folder called Clients in your Public Folders.

IMPORTANT NOTE: You may also see other Contact Folders in your Public Folders. The ones called Contacts and Resources are auto created and managed by the Kerio Server. Contacts contains a listing of every user of Kerio in your organization. Resources contains a listing of the resources created on the server ( conference rooms, equipment, vehicles, etc...)

These Client folders should be left alone. Adding or changing information in these folders may have unexpected results as the Kerio server will change the information in these folders without warning.

The "Clients" Contact Folder is currently empty. There are three different ways to get contacts into the Contact Folder.

1) Create the contacts individually in WebMail by selecting the Clients Folder and then clicking the "New Contact" button.



2) Select a contact(s) in another Contact folder and dragg and drop onto the Clients folder.



3) Select a contact(s) in another Contact folder, right click on the selected contact(s) and select the "Move or Copy" command.

By default any Contact Folder in the Public folders can be viewed by any user in the organization. Any user with Administrator or Editor rights to the Public folders or the specific Contact Folder can make changes to the contacts in the folder. You can assign rights to individual Contact folders as needed.

IMPORTANT NOTE: Do NOT add Sharing Types "Anonymous" or "All users" to public folders. This will allow people from outside of your organization to view / edit the public folders.
